When an item cannot be shipped immediately, the order can be set to something called ‘backorder’. Two of the most common reasons to create a backorder are that an item has been sold that is out of stock or that the customer has requested a delay in delivery.

For example, if your warehouse has 2 out of 3 items ordered and your customer is willing to wait for the third item, you have the option of “splitting the order” into the goods that can be shipped and the goods that cannot.

The order line for the out of stock item is backordered and a new order with the status “Back Order” is created in Neto. This enables you to manage backordered item easily and progress the order through the system when the item is back in stock.

The goods that can be dispatched are shipped and the remaining item can be shipped at a later date, which is preferable to cancelling the order.

Enabling Backorders

  1. Select "Webshop Settings" from the Cog icon menu from the Neto CPANEl.
  2. In the "Checkout Settings" section, click on "Enable Out Of Stock Checkout".

This will change the "Out Of Stock" buttons on your website to "Backorder", allowing customers to add items to their cart and make purchases.

In addition to the above, you can enable out of stock items to be marked as "backorder required" on any orders that come through, click on the "Enable Backorder at Checkout" box to activate this.

Once enabled, you can view any orders that are currently on backorder, either by filtering from the Order Menu, or viewing the Back Order Report:

The report required is the Sales and Stock Management Report.

To see the Back Order report, go to:

  1. Reports > Product Reports > Sales and Stock Management.

You can filter by:

  • Sku
  • Product name
  • Supplier
  • Date
  • Order status and more

You can also export these results to CSV.

Placing items on Backorder

Only orders with New or On Hold status can have their order lines backordered.

To place an item on Backorder:

  1. Locate the order you would like to edit.
  2. Scroll down to the Order Line Details Pane and locate the order line you would like to place on backorder.
  3. You can either click Backorder Out of Stock Products at the bottom of the product section or you can enter the amounts into the Backorder column next to the product name in the column called BKO, for Backorder.

Be sure to subtract this from the total quantity so that you aren’t adding extra items to the order.

For example, if you want two of three items ordered to be put in backorder, the product line will be quantity one, backorder two.

If the order has not already been paid, the backordered items will not be included in the total payment required. If you want payment of the items upfront, you will need to backorder the products after you have received payment.

Once you have finished, you can mark the order as New or On Hold. A new Backorder will be created, which can be found under Orders and New Backorder.
